Two transport quotes for the same route can differ a lot, and it is not always clear why. Truck freight in India is priced on a handful of factors, and once you understand them you can compare quotes properly, avoid surprise charges and often bring your cost down.
1. Distance and route
Distance is the starting point, but the route matters just as much. Highways and expressways are faster and cheaper to run than ghat sections, congested city stretches or poor roads. Routes into remote areas can cost more because the truck is less likely to find a return load there.
2. Vehicle type and size
The vehicle you need depends on the weight and volume of your goods. Small pickups suit light local loads, 14–19 ft trucks cover most mid-size consignments, and 20–32 ft trucks and containers handle large or bulky cargo. Booking a vehicle that is too big wastes money; one that is too small may mean two trips.
3. Full truck load vs part load
With a full truck load (FTL) you pay for the whole vehicle, but your goods travel directly with no transshipment. With part load (PTL) you share the truck and pay only for the space or weight you use, which is cheaper for smaller consignments but can take longer. Our guide on FTL vs PTL explains how to choose.
4. Weight, volume and type of goods
Freight is usually charged on actual weight or volume, whichever is higher. Light but bulky goods such as furniture or foam take up space and are priced on volume. Fragile, high-value or hazardous goods need extra care, packing or special vehicles, which adds to the cost.
5. Return load availability
A truck going to a busy industrial city is likely to find cargo for its return trip, so the operator can charge less for the outward journey. If the destination has little outgoing cargo, the price often includes part of the empty return run.
6. Fuel prices and tolls
Diesel is one of the biggest costs in road transport, so freight rates move with fuel prices. Tolls (paid through FASTag) also add up on long highway routes. Ask whether tolls are included in your quote or charged separately.
7. Loading, unloading and waiting time
Labour for loading and unloading, use of a forklift or crane, and waiting time at the factory or warehouse are often charged separately. Long delays at loading points can add detention charges, so confirm the timing before the truck arrives.
8. Taxes, documents and insurance
GST applies to goods transport services, so check whether the quote includes it and whether reverse charge applies to your business. For most consignments above ₹50,000 in value an e-way bill is required, and transit insurance is strongly recommended for valuable goods. A reliable transporter will tell you what documents are needed before dispatch.
How to get an accurate quote
Share the pickup and delivery addresses, the type of goods, approximate weight and dimensions, the number of packages, your preferred dispatch date, and whether you need loading help or insurance. The more precise the details, the more accurate and comparable your quotes will be.
